Committee Positions and Panel Responsibilities

Duties of the President

  • Provide leadership and overall direction for the association.
  • Preside over committee meetings, general meetings, and major functions.
  • Represent the association in external affairs and official events.
  • Supervise and oversee the work of all committees and office bearers.
  • Make necessary decisions in urgent matters and report them to the committee.
  • Uphold the reputation of the association and promote unity among members.

Duties of the First Vice President

  • Assist the President in managing the affairs of the association.
  • Act on behalf of the President in his/her absence.
  • Coordinate and supervise the work of committees and sub-committees.
  • Assist in planning and implementing association activities and programs.
  • Perform duties assigned by the President or the committee.

Duties of the Second Vice President

  • Assist the President and First Vice President in association matters.
  • Help coordinate cooperation among the various committees.
  • Assist in organizing major events and celebrations.
  • Act for the President when both the President and First Vice President are absent.
  • Carry out duties assigned by the committee.

Duties of the Secretary

  • Handle the administrative affairs of the association.
  • Manage correspondence, official documents, and records.
  • Prepare meeting agendas and record minutes of meetings.
  • Issue notices for committee meetings and general meetings.
  • Maintain membership records and documentation.
  • Assist committees in implementing association activities.

Duties of the Treasurer

  • Manage all financial matters of the association.
  • Safeguard the association’s funds and maintain bank accounts.
  • Keep proper records of all receipts and payments.
  • Present financial reports to the committee.
  • Prepare the annual financial statement.
  • Cooperate with the Auditors for financial verification.

Duties of the Recreation Committee

  • Plan and organize recreational and cultural activities.
  • Arrange festive celebrations and social gatherings.
  • Organize outings, sports, and leisure activities.
  • Promote fellowship and interaction among members.
  • Assist in arranging programs for major events.

Duties of the Welfare Committee

  • Look after the welfare and mutual assistance of members.
  • Visit members who are ill or hospitalized.
  • Arrange condolences and assistance for bereaved members.
  • Manage welfare funds or mutual aid activities.
  • Organize charity or assistance programs.

Duties of the Public Relations Committee

  • Handle external relations of the association.
  • Receive and host visiting guests and representatives from other associations.
  • Represent the association at functions of other organizations.
  • Foster good relationships with other clan associations and community groups.
  • Assist in reception arrangements for major events.

Duties of the Audit Committee

  • Examine and verify the financial accounts of the association.
  • Check records of receipts, payments, and financial statements.
  • Conduct periodic audits of financial documents and vouchers.
  • Present audit reports to the committee or general meeting.
  • Ensure transparency and proper financial management.

Duties of the Youth Committee

  • Organize activities for younger members of the association.
  • Encourage youth participation in association affairs.
  • Plan youth development, cultural, and networking activities.
  • Cultivate future leaders for the association.
